PlayerLync is the first tablet-based automatic video and document content delivery and control platform that enables timely, contextual collaboration among widespread workforces. PlayerLync allows organizations to push and pull content over any network to live locally on team tablets for native offline access. Our platform was originally developed for professional sports teams to rapidly share and collaborate on complex playbooks and high-quality game video without the need for an ongoing Internet connection.
About the position:
The individual will be primarily responsible for support, coordination, and preparation of office operations, procedures and resources to facilitate organizational effectiveness and efficiency including: office logistics and events. The individual will also manage PlayerLync's accounting and bookkeeping efforts with the support of the CEO and CFO. Additionally, the professional will coordinate and execute onboarding new hires and support executive staff as needed.
Responsibilities
Accounting and Bookkeeping
Organizational:
Financial administration including all accounts payable and accounts receivable
Prepare all year end accounting tasks with support of CFO
Suggest new systems, automated processes or needs of improvement regularly
Accounts Payable:
Bookkeeping including entering all transactions for accounts within PlayerLync classing system
Vendor management: pay all invoices timely and track appropriately
Manage a heavy billing calendar and invoice appropriately
Accounts Receivable:
Report income statements monthly with the support of CFO
Process all new sales contracts and set up new customers appropriately
Manage business registrations for multiple states and facilitate new registrations in new states
File monthly, quarterly, bi-yearly, and yearly sales tax returns
Payroll
Coordinate expense reports and reimbursements and update payroll manager
Reconcile payroll monthly
Administrative Duties
Supervise all office needs and serve as front line for visitors and phone calls
Facilities logistics and communicate with landlord, utilities, fire department, and other as needed
Routinely reorder company and department supplies and meals
Update mail/phone directories and make these available to staff
Analyze workflow to help create appropriate infrastructure for organization
Making travel arrangements including airfare, hotel and ground transportation
Make logistical arrangements related to office conferences and employee events
Human Resources administration
Administration of human resources functions such as benefit administration and management, coordination and execution in onboarding new hires and terminations
Manage company heath insurance benefits including renewals and enrolling/termination of employees
Manage employee time off and holiday schedules
Manage employee expense reports
Experience
3+ years of office/administrative experience
3+ years of staff accounting and/or bookkeeping
Sales taxing experience a plus
Skills and Education
Ability to work independently with a strong drive to problem solve
"Can do" attitude with a drive to thrive in a fast-paced startup environment
Strong analytical, interpersonal, and written and verbal communication skills
Very strong organizational skills and efficiently manage multiple projects with accuracy and exceptional attention to detail
Demonstrate responsiveness, tact, diplomacy, good judgment, and confidentiality
Database maintenance and preparation experience preferred
Proficient with Microsoft Office, Quickbooks, Avalara Avatax and SaaS-based accounting and administrative software
Must be U.S. citizens, U.S. permanent residents, or otherwise legally authorized to work in the U.S. No visa sponsorships
Must have a car and valid driving license
BS or BA degree in related field
