OVERVIEW
American Exteriors LLC is hiring an Administrative Assistant (i.e. Install Service Coordinator) for our Omaha, NE office. The position is responsible for processing new sales information, funding paperwork, maintaining installation scheduling and inventory control and other office duties as needed. Data entry is a huge part of this position's reponsibilities. Essential Duties: Enter new sales information into the database for installation scheduling Prepare and submit funding paperwork to funding sources Process permit requests in appropriate timeframe for job installation Maintain and manage service report Process sales paperwork, including job addendums Process in-coming Customer calls for service, installs and complaints; escalate Customer concerns to management as needed Scan and process measure and service invoices for funding Maintain receivables report and update SalesLogix as required Process all recieving and purchasing paperwork Maintain install service scheduling and expediting for all job installations Generate reports on a scheduled and ad-hoc basis Process permits Maintain inventory control Perform general clerical duties including copying, filing, faxing and mailing Answer, screen and direct incoming calls to appropriate staff Open, sort and distribute incoming correspondence Maintain office supply inventory and order supplies as needed Process paperwork for new hires and employee changes to Human Resources Complete other duties and special projects as assigned Required Knowledge, Skills and Abilities: Minimum of High School diploma/GED required; Some college or BA/BS in Construction Management or related field preferred Prior experience with windows/siding installation including a strong understanding of permits, building codes and industry standards desired Ability to multi-task while completing projects required Experience with inventory management desired Strong organization and customer service skills required Understanding of MS Office applications including Word, Excel and Outlook required Ability to generate reports and work with database systems desired Ability to work in a fast paced environment and solve problems rapidly desired Strong listening skills with a solid work ethic required Strong verbal and written communication, attention to detail, time management, and interpersonal skills required Applicants are asked to email their resume (in Word or PDF format only) to the Human Resources Department for consideration.
